Job Overview
Job Summary:
We are seeking a highly organised, proactive, and resourceful Executive Assistant to provide high-level support to the directors in both business and personal matters. This role requires exceptional organisational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will act as a gatekeeper, problem-solver, and trusted adviser, helping to streamline operations, manage schedules, and handle confidential information with utmost professionalism.
Key Responsibilities:
Business Support:
1. Diary Management:
- Manage and coordinate the directors’ complex schedules, including meetings, appointments, and travel arrangements.
2. Meeting Preparation:
- Prepare agendas, briefing documents, and meeting notes.
- Follow up on action points from meetings and ensure timely completion.
3. Communication Management:
- Act as the first point of contact for internal and external stakeholders.
- Draft and manage email correspondence on behalf of the directors.
4. Project Coordination:
- Assist in managing business projects and tracking progress.
- Research and prepare reports or presentations for meetings.
5. Administrative Support:
- Handle document management, filing, and expense reporting.
- Liaise with external partners, suppliers, and key stakeholders.
Personal Support:
1. Personal Diary & Appointments:
- Manage personal appointments, social engagements, and family events.
2. Travel & Event Coordination:
- Arrange personal and family travel, including flights, accommodation, and itineraries.
- Organise family events, such as celebrations and ceremonies.
3. Household & Lifestyle Management:
- Coordinate with household staff and manage household-related tasks.
- Handle personal errands, such as shopping, gift purchasing, and scheduling services.
4. Driving & Errands:
- Must be comfortable driving and have a valid driver’s licence.
- Assist with both business and personal errands that require travel.
5. Confidential Matters:
- Manage sensitive personal and business information with the utmost discretion and confidentiality.

Skills and Qualifications required

• Must be a graduate
• Strong written and verbal communication skills

• Proactive approach with excellent problem-solving abilities
• Attention to detail and ability to multitask effectively
• Strong interpersonal skills and the ability to work with senior stakeholders
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Exceptional organisational and time management skills
Preferred Experience:
• Proven experience as an Executive Assistant or in a similar role supporting senior executives
• Familiarity with coordinating international travel and events
• Experience in managing both business and personal matters
Hours per week
Full time, day shifts, Monday to Friday (with some weekends)
